Every kind of resource is defined, not coded – name, icon, rules. Each office decides which of them it actually uses.

Anything that is shared

Desks, parking spaces, rooms, lockers, vehicles: a kind of resource is configured, not developed. Grouped (desks in a room) or standalone, permanent or just for one day.

A plan, not a list

Upload a floor plan, place the resources on it, done. People booking see where a desk actually is – by the window, next to their team, far from the printer.

Who is in this week?

The occupancy overview shows the whole week at once. Useful for the day half the team is in anyway – and for the one where nobody is.

Share across sites

A neighbouring site's free parking spaces open up for everyone at a set hour – configurable per kind of resource, so nobody sees numbers that are none of their business.

Numbers, carefully

Occupancy over weeks and months – released per kind of resource, never automatically. Who was in when is recorded nowhere: the statistics count bookings, not people.

In your own calendar

Bookings as a calendar subscription (iCal) in Outlook, Apple Calendar or Thunderbird. Plus events, public holidays and – if the team wants them – birthdays.

Rights that fit the building

Organisation, office, member – each level sees and decides exactly its own part. Features can be fixed organisation-wide or left to the individual office.

At home on a phone

Add it to the home screen and Roomster behaves like an app – including a reminder when next week's booking is still open.

Set up the office

Enter the site, pick the kinds of resources, add them – one by one or as a series. A floor plan can follow at any time.

Invite the team

Invitation by link, account created on first open. Whoever administers decides who gets admin rights – for the office or the whole organisation.

Let people book

Pick a day, tap a resource, done. Recurring bookings for the fixed office day, cancel any time, and the calendar knows about it too.

FAQ

What people ask before rolling it out

Where is the data stored?

In the EU. The application runs on Google Cloud in the Frankfurt region (europe-west3), database and files included. The app's own privacy policy has the detail, and each office can add to it.

Do the statistics show who was in when?

No. They count bookings per day and per kind of resource, never people, and each kind has to be released explicitly. In a very small office even a count can point at an individual – the app says so where you release it. Agree the rollout with your staff representation.

Do guests need an account?

No. Where guest bookings are enabled, you book for a visitor by typing their name – no account, no invitation.

Does it handle parking permits?

Yes. For resource kinds with permit checking the app produces a printable parking permit and a checking view that verifies one by QR code.

What does Roomster cost?

It depends on size and setup (shared instance or your own). Tell us how many sites and people are involved and you get a number, not a pricing table full of asterisks.

Can we have our own instance?

Yes. Roomster runs in separate projects, each with its own name, logo and data. Your own instance is a setup question, not a custom development.
